Personal Assistant

As a Personal Assistant, you will provide comprehensive administrative and support services to facilitate the smooth operation and organisation of tasks for the individual or executive you are assisting. You will handle a wide range of responsibilities, including managing schedules, coordinating appointments, arranging travel, handling correspondence, and maintaining confidentiality. Your efficiency, attention to detail, and strong organisational skills will be crucial in enabling the individual you support to focus on their core responsibilities and maximise their productivity.

Key Responsibilities:

  1. Calendar and Schedule Management: Manage and maintain the executive’s calendar, scheduling appointments, meetings, and events. Coordinate internal and external meetings, including logistics, agenda preparation, and follow-up actions.

  2. Travel Arrangements: Coordinate domestic and international travel, including flight bookings, hotel accommodations, transportation, and visa arrangements. Prepare itineraries, expense reports, and necessary travel documentation.

  3. Correspondence Management: Manage incoming and outgoing communications on behalf of the executive, including emails, letters, and phone calls. Prioritise and respond to correspondence promptly, ensuring professionalism and accuracy.

  4. Meeting Support: Prepare meeting materials, presentations, and agendas. Attend meetings, take minutes, and provide follow-up on action items. Coordinate with participants and arrange necessary resources.

  5. Confidentiality and Data Security: Maintain strict confidentiality and handle sensitive information with utmost discretion. Ensure proper handling and storage of confidential documents and records.

  6. Administrative Support: Provide general administrative support, including filing, document management, expense tracking, and invoice processing. Handle routine tasks such as photocopying, scanning, and managing office supplies.

  7. Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and colleagues. Serve as a liaison between the executive and other team members.

  8. Prioritisation and Time Management: Assist in prioritising tasks, managing deadlines, and ensuring timely completion of projects. Identify and resolve scheduling conflicts or urgent matters efficiently.

  9. Research and Information Gathering: Conduct research and compile information on various topics as requested by the executive. Summarise findings and provide reports or presentations as needed.

  10. Miscellaneous Support: Assist with personal tasks and errands as assigned by the executive, such as personal appointments, reservations, or family matters.

Requirements:

 

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.

  • Excellent organisational and time management skills, with the ability to multitask and prioritise effectively.

  • Strong attention to detail and accuracy in all tasks and communications.

  • Proficiency in office software and tools, including calendar management, email systems, and document processing.

  • Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proactive mindset with the ability to anticipate needs and take initiative.

  • Flexibility and adaptability to handle changing priorities and urgent requests.

  • Professionalism, poise, and the ability to represent the executive effectively.

  • Strong problem-solving skills and the ability to handle challenging situations.

  • Bachelor’s degree in business administration or a related field is preferred.
